The Front Desk Administrative Assistant is the first point of engagement for Interfaith Community Services’ clients. This position is responsible for performing a wide range of administrative, clerical and front office support duties for our team in a professional, client-centered office environment. Responsibilities include direct customer contact including answering phones (multi-line system), greeting clients, assisting with forms, connecting clients to appropriate staff, and responding to basic questions regarding our programs and services while maintaining strict confidentiality, clear boundaries, and following policies and procedures for the agency and program.

Our social services office provides our clients and community members with an opportunity to receive crucial basic needs and supportive services to ensure that all families and individuals have the assistance needed to help them be self-sufficient.

Supervising Staff:
• Jessica Elliott-Pomerenke, Social Services Program Manager

Time Commitment:
• This is an ongoing (6+ month), weekly commitment
• One day per week, or multiple days per week

Current Openings:
• Mondays: 1:00 pm to 4:00 pm
• Tuesdays: 1:00 pm to 4:00 pm
• Wednesdays: 8:00 am to 12:00 pm
• Thursdays: 1:00 pm to 4:00 pm
• Friday: 1:00 pm to 4:00 pm

Key Responsibilities:
• Function as support for the Interfaith Community Services’ reception staff at our headquarters. This position is a combination of customer care and basic administrative assistant duties.
• Provide excellent customer service while interacting with clients, visitors, staff, etc. over the phone (answer phones, transfer calls, take accurate messages), in person, and via e-mail.
• Check-in clients and assist them in completing client registration forms.
• Provide clients information about Interfaith’s programs and services.
• Connect clients to appropriate case manager or service provider.
• Provide basic needs items as needed; (clothing, food, hygiene).
• Perform front desk and office management duties including checking and sorting mail, managing supplies inventory, creating labels, filing, copying and faxing, data entry and scanning documents.

Training and Support:
• Ongoing oversight from supervising staff to provide direction, training and feedback on specific program and department activities, procedures, priorities, performance, and agency updates.
• Office equipment including telephone system, photocopy machine, computer equipment, etc.

• Excellent interpersonal skills with the ability to easily work with a diverse population.
• Demonstrate poise, tact, diplomacy and empathy when working with clients and visitors.
• Proven clerical experience answering phones, photocopying, faxing, scanning, and filing.
• Proficient with computer applications and databases (e.g., MS Office – Excel, Word, Outlook, PowerPoint; Web-based applications).
• Excellent verbal and written communication skills including vocabulary, grammar and spelling.
• Strong organizational skills.
• Self-starter able to work with minimal supervision, and as an integral team member.
• Detail-oriented with strong organizational skills.
• Ability to prioritize and manage multiple, competing tasks and requests.
• Enthusiastic with a willingness to learn.
• Able to lift up to 20 lbs (accommodations made for those who cannot lift).
